We are seeking a full-time Real Estate Operations Specialist to oversee property-related logistics and secure optimal real estate locations. This MA, NJ or GA-based role is ideal for someone with commercial real estate or property management experience who brings a strategic, hands-on approach to negotiations, property compliance, and site evaluations. You’ll play a key role in acquiring new commercial properties, ensuring that all properties meet zoning requirements and maintain regulatory compliance, and assist with general facilities maintenance of all Flexcar Hubs.  

Role Overview: 

The Real Estate Operations Specialist will be responsible for finding new property leads, conducting property assessments, managing real estate documentation, and working with property managers and commercial realtors to negotiate the best terms possible. Your ability to interpret zoning regulations and assess Certificates of Occupancy will ensure property compliance and suitability. You must also be able to handle facility launches and facility management by working closely with Operations Leadership. The ideal candidate is a confident, proactive professional skilled in navigating assertive negotiations and maintaining a detail-oriented approach to record-keeping and property analysis. 

Key Responsibilities: 

  • Property Evaluations: Conduct on-site property assessments to evaluate location logistics and ensure compliance with zoning regulations, Certificates of Occupancy, and other applicable codes. 

  • Relationship Management: Build and maintain strong relationships with property managers, real estate agents, and commercial realtors, negotiating favorable terms for property leases and acquisitions. You must be able to establish a network of vendors and management process to ensure we have the best consultants to support maintenance, repair, and renovations across all locations while managing cost    

  • Compliance & Documentation: Procure necessary permits, licenses, and documentation to ensure all properties are compliant with local, state, and federal regulations. 

  • Market Research and Records Management: Research and find available sites, Organize and manage all real estate documentation, contracts, and communications, ensuring that records are accurate, complete, and easily accessible. 

  • Property Viability Reports: Provide property viability assessments and recommendations based on on-site evaluations and regulatory requirements. 

  • Travel & Site Assessments: Travel to various property sites as needed to meet with contacts and assess real estate opportunities. 

  • Facilities Management: Serve as the point of contact for daily needs to keep our locations in optimal working condition and owns the work order process to collect, address, and closeout approved repairs and improvements. 

Qualifications: 

  • Bachelor’s Degree in a relevant field: Real Estate, Business Administration, Operations Management, Project Management, Construction Management, or similar disciplines would be preferred. 

  • Experience: Minimum of 3-5 years in commercial real estate, property management, real estate project management, or a similar field. Real estate license not required. 

  • Knowledge of Regulations: Strong understanding of zoning laws, property compliance, and Certificates of Occupancy. 

  • Organizational Skills: Exceptional administrative, record-keeping, and project management abilities. 

  • Negotiation Skills: Confident, proactive negotiator capable of managing dynamic interactions with various stakeholders. 

  • Communication Skills: Strong ability to communicate with leadership, facilities, real estate, and product teams across all levels. 

  • Flexibility & Resilience: Willingness to cover all operational hours, including evenings, weekends, and holidays, while adapting to changing business demands.
