At Flexcar, Operations Coordinators are the engine behind our on-the-ground success—keeping our lots organized, our vehicles ready, and our operations running smoothly. This hands-on role is essential to ensuring vehicles move efficiently through each stage of the Flexcar lifecycle—from arrival and prep to customer delivery and eventual defleet. As an Operations Coordinator, you’ll work closely with the Operations Manager to lead daily execution, support team productivity, and uphold Flexcar’s high standards of vehicle quality and member experience.
What You’ll Do:

  • Be an expert in the following areas of responsibilities:  Infleeting, Defleeting, Service, Parts, Inventory, Member Experience and Order Fulfillment.
  • Coordinate daily lot flow to ensure vehicles are in the correct lots based on our internal tool Optimus status
  • Monitor and actively manage vehicle readiness to guarantee cars are cleaned to Flexcar standards, fueled, and fully customer-ready before their order date.
  • Ensure the consistent productivity of operations associates through effective task assignment and daily oversight. Ensure tasks align with goals set by Operations Manager and raise productivity concerns immediately.
  • Oversee auxiliary lot vehicle movements, ensuring timely and organized transfers between primary and secondary locations. Ensure every vehicle is fully secured by EOD.
  • Track and manage incoming infleet vehicles ensuring they are orderable by our members within 24 hours of receiving them on site. This includes quality photos, telematics installs in addition to an accurate list of vehicle features on every vehicle.
  • Ensure vehicles are quality checked upon order, eliminating last-minute fulfillment defects
  • Conduct a final quality check on all vehicles, remedy any issues before presenting the vehicle to the outbound team.
  • Utilize member feedback to eliminate quality gaps, maintain a “satisfied” rating on all vehicle quality related surveys.
  • Use all available tools and tracking systems to optimize task delegation and monitor progress.
  • Identify opportunities to streamline operations and implement process improvements to enhance overall efficiency. Proactively bring suggestions to the Operations Manager to improve performance.
  • Ensure defleet vehicles have telematics and license plates removed and are ready for pickup

  • Experience working with Microsoft Office Suite
  • Tech Savviness - Experience working tech-driven operation, monitoring tickets, and assigning tasks through a proprietary operational tool set.
  • Demonstrated history of being a quick learner and a passionate worker
  • Operating as a team player in a fast-paced environment 
  • Flexibility to workdays, evenings, weekends and/or holidays
  • Willingness to work outdoors (weather and other conditions vary) 
  • Ability to carry tools and marketing materials (up to 50 lbs.)
  • Valid Driver’s License and an acceptable driving record (per company standards)
